New Employee Cockpit

In Rollup Update 38, we developed a new dashboard in the Employee Self-Services that represents a home port for your employees. The employee cockpit contains useful functions that are easy and quick to use.

Feature Introduction

The Employee Cockpit includes the following quick accesses: Create New Leave Request, Create New HR Request, My Employee Data, and Show Hierarchy. Also, the Virtual Time Clock has been integrated so that time tracking can be executed without delay. In addition to the time tracking, the attendances of the current week are displayed to provide a good overview. The cockpit also has a section that contains information about upcoming vacations and the Absence Summaries. As a new feature, there is now also a Birthday List of your employees and a Notifications function. You can use these to send company messages to your employees quickly and easily

Technical Details

The cockpit can be accessed via the Employee Self-Service App and is designed as a dashboard. The quick accesses are existing operations that now can be reached via the cockpit. The Birthday List contains the upcoming birthdays of your employees. The Notifications feature allows the HR Manager to quickly communicate general information / news / updates or similar. All employees with access to the Self-Service app can see this afterwards.

Note

With Rollup Update 38, Hubdrive's own hierarchies are delivered in the "Contact" table, i.e. if there is already an own hierarchy in your contact table, it will be overwritten. If you do not want this to happen, then you must:

  1. re-import the hierarchy from your last backup after you have installed RU 38
  2. go to your Contact - Hierarchy table via Customizations. To reset it you have to open the hierarchy, and select the desired relation, which should be displayed as hierarchy.

here can be only one hierarchy, which we will overwrite with Rollup 38.

Existing customers who want to use the "Show Hierarchy" function have to update the relationship between the records once. To do this, go to Flows at: make.powerapps.com - Dynamics HR Management and trigger the cloud flow "Manual Update of Contact Relationship for Orgchart Hierarchy". You may need your IT administrator to access this feature.

Objective & Key Result - Functional Enhancement

We enhanced our OKR App in Rollup Update 38 by integrating automatic emails and progress reports at Objective and Key Result level. We also added a new security role.

Feature Introduction

Automated Emails:
Every Friday, a fully automated email is sent to your staff. This email contains all Key Results of the respective employees with the direct link to the system. Objective owners will receive a status update on their objectives every Monday by receiving the progress information directly in the email. Both emails have the function of promoting the OKR- process by challenging your employees to work with the management tool and stay focused.

Security Role:
We have added a new security role: "Hubdrive OKR Employee Public" - This security role offers you greater flexibility in the use of the OKR functionality by increasing the employee's key-result level view permissions.

Progress Reports:
With the help of the additional progress reports at Objective and Key Result level, you now have the additional information on how the progress of the respective element has developed over time. This gives you a better overview and allows you to pursue appropriate management decisions that have a positive impact on your Objectives or Key Results.

Technical Details

Automated Emails:
Every Friday morning, the flow "OKR - Recurring Key Result Emails" is executed and sends a fully automated email to your employees. This email contains all links to the Key Results of the respective employee. Every Monday morning, the flow "OKR - Recurring Objective Emails" is triggered. The flow sends an email from the owner to the owner of the Objective. The emails are sent to the primary email address of the user, the language of the email is taken from the personal settings.

Progress reports:
The progress report of goals and objectives is realized by the following flows. If a progress report record already exists for that week, the corresponding record is updated (Progress & Confidence), otherwise a new record is created with a timestamp for that week. This progress report is then visible on each record (Key Result or Objective) and on the OKR Progress dashboard.

Security Role:
The new security role "Hubdrive OKR Employee Public", can be assigned to an employee. This gives him full read permission to all active Key Results of your company.

Recruiting & Onboarding

Broadbean Source-Tracking

Since Rollup Update 36, the integration of the Broadbean multiposter allows job advertisements to be published directly from HR for Dynamics to numerous job boards worldwide. In the current rollup, we have enhanced this feature by automatically submitting the source of application.

Feature Introduction

The source tracking feature proves to be particularly valuable. As soon as an application arrives on your personal recruiting portal via a job board operated by Broadbean, the application is transferred to HR for Dynamics and can be easily examined for its origin in the detailed view. This function makes it possible to see which job boards are particularly successful as recruiting channels. This allows you to optimize the selection of your recruiting activities, as you can quickly get an overview of the success of your job advertisements and take timely action, for example, by adapting your job advertisements to specific job boards.

Technical Details

When an applicant applies to your job ad via a job board operated by Broadbean, he or she is first forwarded to your personal recruiting portal. Once the application has been completed and sent on your portal, the application data including the job board used is transferred to your HR for Dynamics. You will then see the job board used under Applications - Details - Origin of Application - Broadbean Job Board Origin.

Note

This information field is based on access via a job board operated by Broadbean and is therefore not displayed if the application is made directly via your personal recruiting portal or another application channel.

Integrations to Third-Party Systems

Dynamics 365 Human Resources F&O Integration

The integration with Microsoft Dynamics 365 Human Resources F&O has been improved by implementing seamless data exchange between Microsoft Dynamics 365 Human Resources F&O and HR for Dynamics.

Feature Introduction

Dynamics 365 Finance & Operations provides data to Dataverse as a "Virtual Table". The records here remain in the F&O database. This, compared to the previous Talent Integration, improves the speed and quality of synchronization. As part of this integration, the "Time Management" and "Recruiting" Power Extensions are now available for customers using Microsoft Dynamics 365 Human Resources F&O.

Technical Details

The required system data from Microsoft Dynamics 365 Human Resources F&O for the "Time & Attendance" and "Recruiting" modules is transferred and synchronized directly to HR for Dynamics. Relevant data records from the HR for Dynamics modules, such as the digital employee file, are in turn transferred to Microsoft Dynamics 365 Human Resources F&O and synchronized. The overview table lists the data mapping in detail.
